Setting up conditional formatting for text in Google Sheets
You can choose the one that is most compatible with your data.
- Select the cells you wish to format, then click on the Format tab, and choose “Conditional Formatting”.
- Choose the Conditional Formatting option.
- The Single Color tab is located at the top right of the sidebar. If you wish, add or confirm another range in the Apply to Range box.
- Confirm the cells within the Apply To Range section.
- Choose one of the text options from the Format Cells If dropdown box. In the next cell, enter the text you want to search for.
- To apply conditional formatting rules, you can configure cell highlighting or font in the Formatting Style section. Click “Done” after that.
There are options to highlight certain text on Google Sheets

1. Text contains or does not contain
You may have imported data that contained random characters, such as percent signs. To correct any errors, you will want to highlight cells. In this instance, you can use Text Contains to be the rule.
Select the cells to access the Conditional Formatting sidebar. Follow the instructions above. Select “Text Contains” from the Format Cells If dropdown box and place the percent sign below it.
Select the formatting that you prefer, and then click “Done.” All cells containing the character that you want to fix will be highlighted.
You could also go through your email list and flag any addresses that don’t have the @ sign to repair them. In this case, the criteria would be “Text Does Not Contain”.
Select the cells from the sidebar. Select the cells from the Format Cells section.
After you’re done formatting, click “Done”. The cells without the email address symbol need to be highlighted.
2. Text begins or ends with
You can search for the content you are looking for using complete words, combinations of letters or a single letter. Here is a list of all automobiles. We want to highlight all Honda models. This rule can be used by the Text Starts With option.
Select the cells you wish to make the rule and then open the sidebar. Select “Text Starts with” in the Format Cells section. If you choose the drop-down box to insert the letter H, place it below the drop-down.
To highlight all Honda or Hyundai cars in the list, select the cell or text format. Click “Done”.
We’ll use the Text Ends With option to highlight any scientific classes that end in “ology” as an illustration.
Select the cells you wish to make the rule and then open the sidebar. Select “Text Ends with” from the Format Cells section. If you are using the drop-down box type “ology” below it.
To highlight all scientific classes in the list, select the cell or text format. Click “Done”.
3. Text is exactly
For our last example, we have a page that contains student names and their grades. Conditional formatting is used so that an F grade is highlighted when a student earns it. In this instance, the Text Is Exactly rule will be applied.
Select the cells from the sidebar. Select the cells from the Format Cells section. If you are using the drop-down box type F in the field below.
Select the format to highlight all letter F grades and click “Done.”
